Attendance & Cancellation Policy

At Bergamo Health, we are committed to providing high-quality, consistent care to all clients. Regular attendance is an important part of achieving the best possible health outcomes. Each appointment involves dedicated practitioner time, preparation, and planning, and we also maintain an active waiting list.

To ensure fairness to both our clients and practitioners, we ask that sufficient notice is provided if an appointment needs to be cancelled or rescheduled. This allows us to offer the appointment to another client and use clinical time effectively.

Standard Cancellation Policy

  1. A minimum of one (1) clear business days’ notice is required to cancel or reschedule an appointment.

  2. Appointments cancelled or missed without adequate notice will be charged at the full service fee.

  3. Repeated non-attendance or late cancellations may result in a review, suspension, or termination of services.

  4. Consistent attendance supports progress within your treatment plan and helps ensure continuity of care.

  5. Missed appointments may negatively impact therapeutic progress.

  6. Clients are asked to notify the clinic of any changes that may affect their ability to attend appointments (e.g. mobility or support needs).

  7. Responsibility for attending scheduled appointments rests with the client or their nominated support person.

Short Notice Cancellation Examples

Example 1:
A one-hour appointment is scheduled for 10:00am Tuesday. The appointment is cancelled after 10:00am on the Monday prior. As the clinician is unable to reallocate the time, the full session fee applies. 

Cancelling or Rescheduling Appointments

Please notify us as soon as possible if you need to cancel or reschedule an appointment. Our clinicians maintain full schedules, and advance notice allows us to offer the time to another client on our waiting list.

Cancellations may be made by phone or email; however, confirmation from our reception team is required.

We understand that unexpected circumstances such as illness, accidents, power outages, or extreme weather events can occur. These situations are often unavoidable, and we aim to be flexible and supportive by offering alternative options wherever possible.
